Construction Accounts Receivable Tracking

Connect invoice aging to the job, the reason payment is open and the next collection action—without replacing accounting.

Winning the work is not the finish line. Getting paid is.

Accounts receivable becomes an owner-level revenue-control problem when the business can see an outstanding balance but cannot quickly answer what should happen next. A construction AR report may show age and amount. A useful control system adds project context, responsibility and the next collection action.

For commercial subcontractors, receivables can also be affected by progress billing, retainage, approved change orders, documentation requirements and customer payment cycles. The goal is not to duplicate accounting. It is to make the exceptions visible enough that ownership can act.

The minimum fields for an AR control view

At minimum, track customer, project, invoice reference, invoice date, due date, original amount, outstanding amount, payment status and days past due. When retainage is relevant, keep it visible separately rather than allowing it to blur the collectible invoice balance.

Add an internal owner and next collection action. That last field converts an aging report into a workflow. “47 days past due” describes the condition. “Call AP Thursday; confirm release status” describes the action.

Cash leakage test: if an overdue balance has no named owner and no next action, the business is depending on memory rather than a collection process.

Age should trigger attention, not automatic assumptions

30, 60 and 90-day buckets are useful ways to organize receivables, but age alone does not explain why an invoice is open. An owner review should distinguish routine payment timing from missing documentation, disputed scope, pending approval, retainage or a true collection problem.

The revenue-control layer should therefore make it easy to record the next step and move the item out of an exception queue once the issue is cleared or the next follow-up is scheduled.

Connect AR back to the project

An invoice is easier to manage when ownership can see the project and the financial events behind it. An overdue balance tied to a recently approved change order may require a different conversation from an old base-contract billing. Connecting AR to change-order status reduces the chance that separate logs tell different stories.

Track cash collection without replacing accounting

Your accounting system remains the system of record for invoices, payments, taxes and financial statements. StandardArc's role is operational: surface the receivables that require attention, show their project context and help the owner prioritize the next action.

That distinction matters because duplicating every accounting detail creates unnecessary maintenance. Revenue control should hold only the information required to answer: who owes us money, how much, how old is it, what is blocking payment and what happens next?

Make AR part of the revenue arc

Cash control is strongest when it begins before the invoice is overdue. Clean bid handoff, current project financials and visible change-order approvals all reduce uncertainty downstream.
